The Annual Meeting provides otolaryngologist-head and neck surgeons and related healthcare professionals worldwide with a full breadth of education opportunities focused on leading-edge clinical techniques, tools, and groundbreaking scientific discoveries, shared by experts in the global otolaryngology community.
Before submitting your proposal, please be sure to read the Submission Guidelines in their entirety, as they will help guide you through the criteria and requirements that are applicable to each of the submission categories. You are also encouraged to review and submit a topic based on the list of promoted gaps in practice.

We seek submissions that reflect diversity of thought and experience, and we strongly encourage inclusion of speakers encompassing but not limited to age, disability status, economic circumstance, ethnicity, gender, race, religion, and sexual orientation, , as well as those from all practice types, geographic backgrounds, and professional statuses.
- ENCORE PRESENTATION SUBMISSIONS: If your proposal has been presented at a previous AAO-HNSF Annual Meeting, please ensure you include updated information or new perspectives before submitting. We encourage submissions that reflect original or substantively updated content to provide fresh, current value for attendees.
Thank you for your willingness to share your expertise with your colleagues at the annual gathering of the otolaryngology-head and neck surgery community.
This is your chance to be part of an inspiring, learning environment that connects our global otolaryngology community. We look forward to receiving your proposals and reading the creative ways in which you are contributing to the future of the specialty.

Expert Lectures
Expert Lectures are presentations led by experts on current diagnostic or therapeutic approaches and practice management topics. They include a maximum of two speakers, with the lead presenter counting as one. All Expert Lectures are scheduled in 50 – 60-minute session slots, based on availability and at the discretion of the AMPC.
- Speaker(s): New Expert Lectures: You are allowed a maximum of two speakers. You must designate one Lead Presenter and up to one Co-Presenter. Previously presented lectures: You are allowed a maximum of two speakers and one mentor. All previously presented Expert Lectures have the option of transitioning one speaker into a “Mentor” role and bringing on a new “Speaker” with the aim of developing our next generation of expert teachers and bringing new voices to the meeting faculty. The mentor does deliver didactic content but is available on the podium for discussion, commentary, and the Q&A portion of the session. The mentor should actively assist in lecture preparation and revision. It is preferred that ALL presenters be well recognized experts on the topic with a presentation and/or publication history specific to the topic and be a minimum of five years out of residency/fellowship training for most topics.

Simulation Presentations
Simulation Presentations are interactive, hands-on sessions designed to enhance clinical or surgical skills through active learning. Each one-hour (1) session presentation incorporates simulation tools or techniques as a central component of the education experience. Simulation presentations do not need to focus solely on medical devices, they may also emphasize technique development, decision-making, or communication skills in a simulated environment.
Unlike other education adjuncts, such as “audience response,” the simulation tools should be integral to the conception and structure of the presentation. Presenters should have expertise in the topic and experience with the simulation platform. The presenters are responsible for securing all needed simulation materials and coordinating with AAO-HNSF staff regarding audiovisual needs and room setup.
- Speaker(s): Simulation sessions must have one designated lead instructor who is the point of contact for all operational logistics. You may designate up to three (3) additional faculty. If additional faculty are required for separate simulation elements, email [email protected] with the names, email addresses and reason for requesting additional faculty. You may also note the need for additional faculty in the comments box at the end of the submission.

- Proposal Information:
- Hands-on Participants: How many hands-on participants can your course accommodate?
- Observing Participants: How many observing (non-hands on) participants can your course accommodate?
- Presentation Format:
- Small Group Format: Teach a specific topic through hands-on participation using one or more simulation tools by all or most attendees. Sessions should be limited to 35 attendees. They include one moderator and up to three faculty per simulation tool employed.
- Large Group Format: Teach a specific topic through the use of simulation tools in front of a larger audience, possibly with some audience members participating live for demonstration purposes. Examples may include tools such as live dissection, advanced imaging education platforms, or management of rare/difficult clinical scenarios. They include one moderator and up to three additional presenters. Although some role-playing workshops have been categorized as large group simulation in the past, we would encourage re-categorization as a Panel Presentation or Expert Lecture if simulation is not integral to the course.”
- Budget and Industry Support:
- Presentation Budget: The AAO-HNSF has very limited ability to directly support Simulation presentations financially. Faculty are to secure in-kind or direct industry sponsorship of Simulation presentation materials, shipping, and other costs. AAO-HNSF staff will work with faculty to submit grant paperwork as requested but will not identify sponsors for individual presentations. Please consider financial feasibility as you formulate your presentation. The AAO-HNSF can entertain very limited budgetary requests. AAO-HNSF staff will review all requests and contact you about possible support after the Call for Science review process ends in April 2026. Would you like to request financial support from AAO-HNSF for your Simulation presentation?
- If yes, provide an itemized budget and total requested financial support. Enter N/A if you do not need financial support.
- Budget and Financial Support Acknowledgement: Presenters must arrange for availability of all equipment and supplies for their Simulation presentation. This includes shipping to/from the convention center. Academy staff may be able to assist with the logistics surrounding delivery of materials. The AAO-HNSF does not have access to surgical supplies, mannequins, or other simulation equipment, and will have limited funds to financially support simulation presentation. Presenters should also secure (In-Kind) or industry financial support if necessary. Failure to do so may result in presentation cancellation.
- Industry Grant Requests: In-Kind (Equipment Loan): AAO-HNSF recognizes some Simulation presentations will need assistance submitting documentation for industry support needed and will be awardable only through the AAO-HNSF or by In-Kind recognition from the AAO-HNSF.
To help coordinate the industry support submission process, the Academy will collect all requests from presentation faculty and then submit all requests/grants per company. To allow adequate time for companies to review our grant requests, the Academy plans to submit all requests in early April 2026.Will you need assistance from AAO-HNSF to complete any In-Kind industry grant requests or documentation for your simulation presentation? - If yes, please provide the following industry support information needed for your presentation.
- Example:
- Company/Institution: KARL STORZ-Endoscopy
- Contact Information: Teona McCutchen, Senior Manager, Professional Education – Annual Meeting, [email protected]/In-Kind Support: Video towers, 0- and 30-degree scopes, sinus dissection instruments

- Room Setup: AAO-HNSF recognizes each simulation presentation has an ideal room-set. However, to reduce reset time between each presentation, all simulation presentations will be limited to the following standard room set ups. Select the best set-up for your simulation and consider this when conceptualizing the presentation.
- “L” Shape Workstations: Theater seating arranged in rows facing front of room, eight L-shaped workstations.

- Presentation Setup Time: AAO-HNSF has scheduled time before and after each presentation to allow for faculty to set up and tear down their presentation. Please provide how long you need to set up and tear-down your simulation presentation. This information will help the Academy staff coordinate onsite logistics and schedule contract labor that might be needed.
- Standard AV Equipment: Each session room will include standard AV equipment as listed below. Will you require any additional AV equipment or technical support (e.g., Wi-Fi, special projectors, etc.)? Please note: Requests outside the standard setup are subject to AAO–HNSF review and approval.
